This policy explains what personal data MotoDealers UK collects, why we collect it, how long we keep it and what rights you have. It applies to motodealers.co.uk and to every form on this website.

1. Who we are

MotoDealers UK is a trading name of Code Smart Web Limited (“we”, “us”), a company registered in England and Wales under company number 16546933, with its registered office at Strawberry Fields Digital Hub, Euxton Lane, Chorley PR7 1PS, United Kingdom. Code Smart Web Limited is the data controller for the personal data described in this policy and is registered with the Information Commissioner’s Office (ICO) as a data controller under registration reference ZC047407 (registered 25 November 2025).

2. What data we collect and why

We only collect what we need to run the marketplace. The table below sets out each purpose, the data involved and the lawful basis we rely on under the UK GDPR.

We do not ask for special category data (health, ethnicity, political opinions and similar) and you should not include it in an advert or a message. The website is not intended for children under 16.

3. What appears publicly

When you publish an advert, the bike details, your photos, the asking price and the town you gave are shown to everyone. We never display your full postcode or your street address. Your phone number is shown only if you chose to show it, and your email address is never published – buyers reach you through our enquiry form.

4. Who we share data with

We do not sell your personal data and we do not share it for third-party marketing. We share it only with the suppliers that help us run the service, each of which acts on our instructions:

  • Sellers and dealers – when you send an enquiry, so they can reply to you.
  • Google (Google Analytics 4) – website analytics, only after you accept analytics cookies.
  • Microsoft (Clarity) – anonymised usage and session analytics, only after you accept analytics cookies.
  • Stripe – payment processing for booster packages.
  • SMTP2GO – sending transactional and alert emails.
  • Cloudflare – content delivery, image storage and protection against attacks.
  • Our hosting provider – the servers and database that run the site.

We may also disclose data where we are required to by law, or to establish, exercise or defend legal claims.

5. International transfers

Some of these suppliers process data outside the UK, including in the United States. Where that happens we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or on UK adequacy regulations, so that your data keeps an equivalent level of protection. You can ask us for details of the safeguards used for a specific supplier.

6. How long we keep it

  • Account data – while your account is open, then up to 12 months after you close it.
  • Adverts and photos – while the advert is live, then up to 12 months in our archive so we can handle disputes.
  • Enquiries and contact messages – 24 months.
  • Saved searches and alerts – until you unsubscribe or delete them.
  • Payment and accounting records – 6 years, as UK tax law requires.
  • Analytics data – up to 14 months in Google Analytics; Microsoft Clarity retains recordings for up to 30 days.
  • Security logs – up to 12 months.

7. Cookies

We use a small number of essential cookies that keep you logged in and protect our forms; these do not need your consent. Analytics cookies are set only after you accept them in our cookie banner, and you can change your mind at any time.

8. Your rights

Under the UK GDPR you have the right to:

  • ask what data we hold about you and get a copy of it;
  • have inaccurate data corrected;
  • ask us to delete your data;
  • ask us to restrict how we use it;
  • object to processing we base on legitimate interests, including profiling;
  • receive the data you gave us in a portable format;
  • withdraw consent at any time, where we relied on consent.

To exercise any of these, email [email protected]. We will reply within one month. There is no charge unless a request is manifestly unfounded or excessive.

If you are not happy with our response you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. We would appreciate the chance to put things right first.

9. Security

The site is served over HTTPS, passwords are stored as one-way hashes and access to the database is limited to the people who need it. No system is perfectly secure, so please use a strong, unique password and tell us straight away if you think your account has been accessed by someone else.

10. Changes to this policy

We may update this policy as the service changes. The date at the top always shows the current version, and we will tell registered users about any significant change by email.
